Policy service

The everyday requests, and what each one actually needs.

Most service requests stall for one reason: the first email is missing the one detail the carrier requires. Here is what to send the first time, and roughly how long each thing takes once we have it.

Requests

What you can ask for.

Email is best for anything with a list of details in it, because we can work from your message instead of our notes about your message. Call for anything urgent.

Certificate of insurance (ACORD 25)

Business

A one-page evidence document proving your general liability, auto, umbrella, and workers’ comp are in force, issued to a specific certificate holder who is asking for proof before you can work.

What we need

  • The holder’s exact legal name and mailing address, spelled the way their contract spells it
  • What the contract actually requires — additional insured, waiver of subrogation, primary and non-contributory, 30-day notice
  • The job, project, or contract reference if it needs to appear on the form
  • Your real deadline, so we know whether to work it now or in the queue

Typical turnaroundSame business day for a routine certificate. One to three days if the contract requires an endorsement the policy does not already carry, because that has to be issued by the carrier first.

Watch outA certificate confirms coverage; it does not create it. If the contract demands additional insured status and the policy has not been endorsed, the certificate saying so is worth nothing. Send us the insurance requirements page of the contract, not just the holder name.

Add or remove a vehicle

Personal & business

Putting a newly bought vehicle on the policy, or taking off one you sold, traded, or totaled.

What we need

  • VIN, plus year, make, model, and trim
  • Purchase or sale date, and the date you want the change effective
  • Where it garages overnight, if that is a different address
  • Lienholder or lessor name and address exactly as the finance paperwork shows it
  • How it is used — commute, pleasure, business — and rough annual mileage
  • Whether you want the same coverages and deductibles as the vehicle it replaces

Typical turnaroundSame day, usually within the hour during business hours. ID cards come back by email as soon as the change is issued.

Watch outNorth Carolina tracks liability coverage electronically, so removing a vehicle while the plate is still active generates a DMV notice and can end in a fine or a suspended registration. Turn the plate in or transfer it first, then call us.

Add or remove a driver

Personal

Adding a new licensed driver in the household — commonly a teenager, a new spouse, or a parent who moved in — or removing someone who no longer lives there.

What we need

  • Full legal name, date of birth, and date first licensed
  • Driver’s license number and issuing state
  • Relationship to you, and which vehicle they mostly drive
  • For a removal: their new address and, ideally, proof they carry their own policy
  • Good-student or driver-training certificates if they apply

Typical turnaroundSame day to add. The premium impact is confirmed once the carrier orders the motor vehicle report, typically within a day or two.

Watch outEveryone licensed in your household generally has to be listed or formally excluded. An excluded driver has no coverage at all behind the wheel, not reduced coverage. Leaving a driver off entirely is worse: the carrier can reprice retroactively or contest a claim.

Change a mortgagee or loss payee

Personal & business

Updating the lender named on a property policy after a refinance, a servicing transfer, or a purchase, so the escrow department pays and the closing does not stall.

What we need

  • The new lender’s mortgagee clause exactly as they sent it, including ISAOA/ATIMA and the department name
  • Loan number
  • Effective date
  • Who needs the evidence of insurance and where to send it — closing attorney, title company, or the lender’s insurance portal

Typical turnaroundSame day. If you are closing this week, tell us the closing date and we will send evidence directly to the closing agent within the hour.

Watch outLenders reject mortgagee clauses over a missing suite number. Forward their email verbatim instead of retyping it.

ID cards and proof of insurance

Personal & business

Auto ID cards for the glovebox or your phone, evidence of property insurance for a lender, and declaration pages for anyone who asks to see one.

Typical turnaroundImmediate. This is the single fastest thing to self-serve — the Client Login portal and most carrier apps have your ID cards on the phone in your hand right now. If you would rather we email a PDF, we will.

Update an address, name, or contact details

Personal & business

A move, a marriage, a new phone number, or a change to where the mail and the bills go.

What we need

  • Old and new address, with unit number
  • Effective date
  • Whether the vehicles now garage at the new address
  • For a name change, the document behind it if the carrier asks

Typical turnaroundSame day for contact details. A move usually takes a conversation, not a form.

Watch outMoving house is not an address change on a homeowners policy. The old policy ends and a new one is written on the new property, and the two need to overlap through closing day. Auto rates also move with the garaging territory, sometimes noticeably, in either direction.

Make a payment

Personal & business

Paying a premium, catching up a missed installment, or changing how you are billed.

What we need

  • Which policy and which carrier
  • Whether the policy is direct bill — you pay the carrier — or agency bill, where you pay us
  • The invoice or the cancellation notice if one arrived

Typical turnaroundImmediate through the carrier’s portal for direct bill. For agency bill we send a secure card or ACH payment link, and it posts the same day.

Watch outWe never ask for a card number by email, text, or voicemail, and you should never send one that way — not to us and not to anyone claiming to be us. If a payment demand looks off, hang up and call the number on this page. If a cancellation notice has already been issued, call rather than pay online; reinstatement is a separate step and it is time-limited.

Change coverage, limits, or deductibles

Personal & business

Raising liability limits, adjusting a deductible, adding water backup or service line, scheduling jewelry, or adding an umbrella.

What we need

  • What changed in your life — a renovation, a new business activity, a bought or sold asset
  • Appraisals or receipts for anything being scheduled
  • The limits you are considering, or just the budget and what worries you

Typical turnaroundA quote back within one to two business days. The endorsement issues same day once you approve it.

Watch outDropping auto liability below your umbrella’s required underlying limits can void the umbrella sitting above it. Coverage changes take effect when the carrier issues them, not when you request them, and nothing on this website binds coverage.

Cancel a policy

Personal & business

Ending a policy you no longer need — the property sold, the vehicle is gone, or you are moving the business elsewhere.

What we need

  • A signed cancellation request; most carriers will not cancel on a phone call alone
  • The effective date, which cannot usually be backdated
  • The reason — sold, replaced, no longer needed
  • Proof of replacement coverage if a lender or a contract requires you to carry it

Typical turnaroundSame day to submit. Return premium from the carrier takes two to four weeks.

Watch outNever cancel until the replacement policy is confirmed bound and you have the new policy number in hand. Even a one-day gap follows you: it re-rates you as a lapsed risk at renewals for years, and a lender-forced policy is several times the cost of the one you dropped.

Premium audit and payroll reporting

Business

The year-end reconciliation on workers’ comp, general liability, and some BOPs, where the carrier compares your estimated payroll or receipts against actuals and bills or refunds the difference.

What we need

  • Payroll records by class code, and 1099 totals
  • Certificates of insurance from every subcontractor you paid
  • Gross receipts or sales figures for the policy period

Typical turnaroundWe review the auditor’s worksheet before you sign it, usually within two business days of you sending it.

Watch outUninsured subcontractors get charged to your policy as if they were employees. Collecting their certificates during the year, not at audit time, is worth real money. Do not sign an audit worksheet you have not read.

Renewal review or re-shop

A look at whether the coverage still fits and whether the price is still competitive across our carrier panel.

What we need

  • Your current declarations page if the policy is not with us yet
  • Anything that changed this year — drivers, vehicles, renovations, headcount, revenue, new contracts

Typical turnaroundWe re-market personal lines automatically ahead of renewal, whether or not you ask. Commercial reviews are scheduled 60 to 90 days out because underwriting takes longer.

Report a claim

Personal & business

Not a service request. Claims run on a separate line that is answered around the clock, including weekends and holidays.

What we need

  • Date, time, and location
  • What happened
  • Any report numbers and photos

Typical turnaroundImmediate. Do not wait for business hours, and do not email the service desk about a loss that is still in progress.

What needs your signature

Some changes cannot be made on a phone call, no matter how clear you are, because the carrier requires a signed form and because the documentation protects both of us if the decision is ever questioned.

  • Cancelling a policy
  • Excluding a driver
  • Rejecting or reducing uninsured / underinsured motorist limits
  • Declining coverage a carrier offered you in writing
  • Anything that reduces a limit on a commercial policy

We send these for electronic signature. They come back to us the moment you sign, and the change is submitted the same day.

A request is not a change. Coverage changes when the carrier issues the endorsement, not when you send the email and not when we acknowledge it. If you have not received confirmation and updated documents, assume the change has not taken effect yet and call us. Coverage cannot be bound or altered through this website.
